About the role

Job Bulletin - - Williamson County Court Services Specialist Reporting directly to the Magistrate Court Administrator, responsible for performing complex duties in compliance with statutory timeframes in support of the Associate Judges presiding over magistration hearings. Identifies and prepares required legal documents and court orders for each hearing. Disseminates legal documents to multiple stakeholders utilizing internal and external communication platforms and databases.

Answers and responds to calls, emails, and correspondence regarding magistration. EXAMPLES OF WORK PERFORMED - Reviews and confirms completeness of law enforcement arrest reports and subsequent jail record entry for newly arrested defendants, ensuring all necessary information is included and assigns to appropriate court/jurisdiction - Prepares legal documents including warrants, blood search warrants, personal bonds, bond conditions, emergency protective orders, ignition interlock orders, mental health assessment orders and any other legal orders requested by Associate Judge - In compliance with state law, enters defendant and charge information into Public Safety Reporting System database to create Public Safety Report for judicial review prior to magistration - Submits pertinent Emergency Protective Order information to Department of Public Safety and Protective Order Registry database daily - Notifies local mental health authority when assessments are ordered, distributes completed assessments to defense attorney, court of record, clerk of record, and prosecutor’s office while maintaining compliance with HIPAA and department policies - Prioritizes and completes time sensitive work in compliance with department policies and state law - Reviews accuracy of prepared documents and orders prior to submission to the Associate Judge and ensures post magistration hearing documents are error free and have appropriate signatures and dates - Assists with coordination of court dockets and court scheduling - Performs record management duties by creating, retaining, distributing and disposing of case information per department operating procedure or as prescribed by law - Handles confidential information independently and under the general direction of Associate Judge in compliance with department policies - Responds to contacts, communications, and inquiries related to magistration matters, including from law enforcement, defendants, victims, attorneys, County and District Courts, County and District Attorney, Justice of the Peace, Municipal Court, and from out of county and state courts - Serves as liaison between magistration, booking, prosecutors, defense, and other various state and local officials - Attends all meetings and trainings as required - Performs special duties as assigned ORGANIZATION RELATIONSHIPS - Reports directly to – Magistrate Court Administrator - Direct Reports – No PHYSICAL DEMANDS - Position involves prolonged sitting at a workstation, reading, visual examination of documents, reaching, standing, walking, twisting, bending, repetitive motions, and occasional lifting ENVIRONMENTAL FACTORS - Work is primarily indoors in an air-conditioned environment - Work is regularly performed in a secured area of the jail - Limited interaction with persons accused or convicted of crimes - Work is fast paced, requires independent judgement and an ability to meet legally mandated deadlines IRREGULAR

What you'll bring

  • High school diploma or equivalent and two (2) years of clerical experience; OR an equivalent combination of education and experience
  • Working knowledge of Microsoft Office Suite and Adobe Pro
  • Required within thirty (30) days of employment
  • Valid driver’s
  • Required within six (6) months of employment
  • Texas Law Enforcement Telecommunications System (TLETS) certification
  • Criminal Justice Information Services (CJIS) certification
  • Texas Crime Information Center (TCIC) certification
  • National Crime Information Center (NCIC) certification PREFERRED
  • Associate degree in the Criminal Justice field
